Report Coordinator (RC) Qualifications

Summary of Responsibilities
The Report Coordinator (RC) is accountable to the Review Team Leader for ensuring the review team generates a high quality preliminary review report, including quality notes and evidence which must comply with the report-writing requirements established by the Office of Head Start.

Tasks include:

  • Take direction from and coordinate with the Review Team Leader and review team members to ensure all evidence required by the OHS Monitoring Software is collected and that all targeted questions and compliance questions are answered, if applicable, to the specified grantee type(s) (ie: Head Start, EHS, Tribal, etc.)
  • Provide daily review, guidance, and feedback to team members about the extent to which their evidence note entries and narratives require additional information to substantiate acceptable preliminary areas of noncompliance
  • Ensure evidentiary notes have sufficient evidence collected on site to support any Preliminary Areas of Noncompliance (PANCs), or ANCs that are determined corrected, that develop during the review
  • Analyze draft PANC narratives. Work with the Reviewers to edit the narratives to achieve clear, concise, and well written PANCS, or narratives showing correction in follow up reports, that ensure sustainability
  • Take notes as assigned by the Review Team Leader for team meetings, other meetings, and/or interviews
  • Support other review team activities, which might include assistance with the ERSEA activities, income eligibility file checks, and HR staff file reviews, as assigned by the Review Team Leader
  • Work collaboratively and cooperatively with team members
  • Manage the Electronic Evidence Binder in the OHS Monitoring Software to ensure all PANCs are supported with relevant evidence including use of prescribed procedures for labeling and organizing the binder documents

MINIMUM EXPERIENCE

Education:
Bachelor's degree

Work Experience:

  • Applicant must have experience as a Head Start Reviewer for the preceding two fiscal years.
  • Applicant must be a current Head Start “Consultant” Reviewer with a minimum of 5 reviews completed within the last year
  • Applicants must have excellent OHS Monitoring Software skills and a thorough knowledge of the Head Start Program Performance Standards, the Head Start Act of 2007, and core questions in the protocol
